Your first due diligence statement, step by step
From an empty account to a submitted DDS with a TRACES reference number. Most steps take minutes — only the TRACES credential grant involves waiting, so start it on day one.
Have these ready
- Your company's EORI number — TRACES requires it on every import or export statement.
- An EU Login account for TRACES. Registration and web-service access can take a few business days, so begin step 3 immediately — everything else can happen while you wait.
- Contact details for your suppliers (an email address is enough — they will not need an account).
Create your free account
Register with your name and email — no credit card, no sales call. Your workspace and operator record are created automatically; confirm your email address to unlock submissions later.
Complete your operator details
In Settings, enter the legal name of the entity placing goods on the EU market, its country, and its EORI number. These appear on every due diligence statement you file.
Connect TRACES — start this early
Register your company as an EUDR Operator in TRACES, then request Web Services Access — the Settings page walks you through it, including a pre-filled request email to TRACES support. Activation is manual on the EU side and typically takes from a few hours to a couple of business days. Once granted, paste your EU Login username and Authentication Key into Settings.
Add suppliers and collect geolocation
Add each supplier by name, then share their unique collection link — by email straight from CanopyProof, or copy it into any channel you already use. Your supplier opens the link without an account, drops points or draws boundaries on a map (a single point for plots up to 4 hectares, a polygon above that), or imports a GeoJSON or CSV file. When they press submit, their plots lock and you're notified.

Screen every plot for deforestation
Press Screen next to each plot to check it against post-2020 forest-loss data. You get a traffic-light result — Low, High, or More info — and the underlying evidence is stored with the plot for your five-year record. Review anything flagged High before you include it in a statement.
Build your due diligence statement
Create a draft, add each commodity with its HS heading, description, net weight and quantity deviation, and tick the producer plots it comes from. A live readiness checklist shows exactly what TRACES still needs before the statement can go out.
Submit and collect your reference number
One click sends the statement to the EU Information System under your own operator identity. CanopyProof then fetches your reference and verification numbers automatically — give them to your customs representative, and keep the evidence PDF on file. Need to fix something?
